Guidelines for Monitoring of Grants by the City Parochial Foundation

1) All organisations, which are currently in receipt of a grant from the Trust for London, are expected to submit a report to the Trust every 12 months of the grant period. The report should include:

a) a summary of the activities carried out during the past 12 months of the grant;
b) details of any issues or problems encountered and how these are being handled;
c) a client profile - this should be limited to the number of clients served, the type of support provided and the ethnic composition of clients;
d)

Audited accounts or such annual financial statements as are required by the Charities Act.

If this information is contained in the organisation’s formal Annual Report then the latter is sufficient. An additional report will not be necessary, except where it is a condition of the grant to produce a separate report on the work funded.


2) You will receive a self-evaluation form as you approach the end of the grant. The final instalment of the grant will not be released until the completed form is received by the Trust

3) During the period of your grant you may be visited by an Officer from the Trust who will be interested in examining details of your staffing and management structures, and your financial control system. The Officer will also wish to discuss your self-monitoring procedures with you
