Monitoring and Evaluation Guidance

We believe that monitoring and evaluation is a useful way of helping organisations to assess the difference their work has made to their beneficiaries and the lessons that have been learned. It also tells us if our funds have been well used. We therefore want to encourage organisations to set up amonitoring and evaluation system at the start of their grant so that they are clear about the information
they need to collect and why.

We recognise that measuring social change can be difficult but this should not discourage organisations from finding the best way to gather relevant and appropriate information that provides as much evidence as possible about the changes that have happened as a result of their work. We will provide support and training to help organisations do this if they need it. There is also a list of websites below which you might find useful.

We know that there are many different approaches to monitoring and evaluation and we do not insist on one particular approach. If organisations have already developed a monitoring and evaluation framework for other aspects of their work, this can be adapted for the work we are funding. What we ask is that the evaluation framework is clear about the organisation's aims, objectives, the differences it hopes to make (the anticipated outcomes) and how the organisation will know it has made those differences.
We will accept joint reports to us and other funders, if this is appropriate. Please discuss this with us.

Specific monitoring and evaluation requirements for organisations in receipt of our funding

Stage One: Within three months of receiving your formal offer of grant you will be expected to submit an evaluation framework. Further guidance and a model example are available below. Additional support can be provided, if needed.

Stage Two: Mid-way through the grant, you will be expected to submit an interim evaluation report. Please note that you need to submit this report mid-way through your grant in order to release your next payment. We will remind you when this is due and give you three months notice to write it.

Stage Three: At the end of your grant, you will need to submit a final evaluation report.

In addition, you will be expected to submit your annual report and accounts every year.

The outline for the interim and final evaluation reports are available to download below:

What we will do with this information

All your reports will be read and summarised for our Trustees. This will help to increase our knowledge of the issues you are addressing and to reflect on our own funding priorities.

B. Second Visits

During the period of your grant, you may be visited by one of our members of staff. The purpose of this second visit would be to discuss the issues arising from your work and your progress. We will contact you to arrange this, if you are selected for a second visit.

C. Additional Support

If you require any additional support to monitor and evaluate your work, please contact us to discuss this further.

If anything is unclear, please contact us.
